Check people in with a QR code

Scan the code on a customer's booking, class sign-up or class pack when they arrive. Mark them as here, or use a class from their pack.

Every confirmed booking, class sign-up and class pack comes with a check-in code: a QR code that opens just that one booking or pack on your Check-in screen. At the door, scan it with a phone or tablet, tap one button, and you're done. There's no app to install, and customers need no account.

Check-in comes with the Bookings add-on (for bookings and class packs), the Gift cards and coupons add-on (for gift cards and coupons), or the Business plan.

What customers see

  • A booking or class sign-up: their confirmation email shows Show this at the door with the QR code, right in the email, so it's there when they open it at the door, even with a weak signal. The page from the link in that email shows it too. A request you haven't confirmed yet, or a spot on the waitlist, has no code, since it doesn't hold a place. They get the code when you confirm it or a spot opens.
  • A class pack: the email they get when they buy a pack shows the code too, and links to Your class pack, with the classes they have left. Right after buying, the code also shows on your site.
  • A gift card or coupon: the email with it shows the code, and the page it links to shows what's left.
  • They can tap Save the code as a picture on the page to keep it in their phone's photos, so it works without a signal.
  • Once you've checked them in, the page says so, with the time, instead of showing the code again. An email can't change afterward, so the code in it still scans, and you're told Already checked in at the time.

The code in an email is the same check-in code as on the page, never the private link in their email that lets them move or cancel a booking. So a forwarded email can't change anything.

The code only lets someone on your team check that booking or pack in. It can't cancel, move or spend anything, and it doesn't work for anyone who isn't signed in to your admin.

Check someone in

  1. Press Scan a code on your dashboard's Business page, or open the editor and press Scan a code under Check-in on Bookings or Gift cards. A pop-up opens and the camera starts. Allow it when the browser asks.
  2. Hold the customer's code up to it. Whatever kind of code it is, the pop-up answers in a sentence.
  3. Press Scan next for the next person, or Done to close it.

A booking for today is checked in the moment it's scanned: you see "Maya Chen is checked in for Table for 2." Nothing to press.

A booking or sign-up: shows the class, the time and how many people. A sign-up for 3 people checks all 3 in at once. If it isn't for today, or is already checked in, you're told, with the time. A booking that isn't confirmed yet, is on the waitlist or was canceled can't be checked in. A booking marked as a no-show turns back into a confirmed one when you check it in. Undo check-in takes it back.

A class pack:

  • You see who it is and how many classes they have left, like "Marcus Lee has 3 classes left."
  • If they booked today's class with the pack, you see it listed. Press Check in next to it. This uses no extra class, since the class was taken when they booked.
  • If they didn't book, choose the class (or Just the visit), the number of People, and press Use 1 class. The pack goes down by that many, and the history shows who used it and when. A pack with no classes left, or past its end date, can't be used.
  • If a class was used on the pack in the last two hours, you see a warning, in case the same code was scanned twice.

No phone, or no signal

In the pop-up, open No phone? Find them by name, or type the code, and type at least 2 letters under Name or email. You see today's and upcoming confirmed bookings and the class packs held by anyone who matches. Press Open to get the same answer as a scan. You can also type a code by hand under Or type the code. If the camera won't start, this opens by itself.

The scanner uses the phone's camera, so allow it when the browser asks.

Who can check people in

Anyone on your team: owners, developers and editors. See Team and access. For a front desk, invite them as an editor: they can use the editor, but they can't change your billing or who has access.

Gift cards and coupons use the same scanner: see Gift cards and coupons with a QR code.

Still stuck?

Try it on the live demo first; nothing you do there is saved. If you’d rather have a person do it, ask for a work request from your dashboard. You’ll get a quote before any work starts.
