Customers

See everyone you do business with in one place, with a note, tags and a history of what they did, whether or not they joined your email list.

Customers is everyone you have a booking, order, message or payment from, in one list. Click a person to see what they did with you, add a note, and tag them. It's included in every plan.

It's different from your email list. The email list is only people who agreed to get your news. Customers is everyone you do business with, and a small label on each person tells you whether they're on the email list. Being a customer never puts someone on the email list.

Who shows up

Someone appears as soon as they do something with you, using the email address (or, if there isn't one, the phone number) they gave:

  • sent a message from a form on your site
  • booked or asked to book
  • ordered from your store
  • joined a membership, bought a class pack or a gift card, or paid a payment request
  • you added them yourself

If the same person used the same email address in different places, they're one person, even if they typed it in capital letters. Someone who gave only a phone number is listed by that number. If they also used an email address, you'll see two entries, because we can't tell whether it's the same person or a family sharing a phone.

A message you marked Spam doesn't count, and neither does a booking that's still waiting for payment.

Find someone

Click Customers in the left menu of the editor. Use the search box to find someone by name, email, phone or tag. The menus next to it let you show only customers or only people on your email list, pick an email status, a tag or a group (like Haven't been back in 90 days, the same groups you can send a newsletter to), and sort by who you saw most recently or who spent the most.

Each row shows the person's name, what they did (visits, orders, messages), when you last saw them, what they've spent, and where they stand on your email list:

  • On the list: they agreed to get your news.
  • Waiting to confirm: they signed up and haven't tapped the link in our email yet.
  • Not on the list: they never agreed to get news. They're a customer only.
  • Unsubscribed, Address doesn't work or Marked as spam: they can't be sent newsletters. They still get emails about their own bookings and orders.

One person's page

Click a name. You'll see:

  • their name and phone, which you can change
  • Your note, for things worth remembering. Only you and your team see it. It saves when you click away.
  • Tags, like Regulars or Neighbors. Tags you add here work in your email list too, so you can send a newsletter to everyone with one tag.
  • History: their messages, bookings, orders, payments and so on, newest first. Click an entry to open it.

The money shown is what actually came in, after refunds. It doesn't include memberships, since those bill through Stripe.

Add someone yourself

Click Add a person, give a name and an email address or a phone number, and click Add. This keeps a record of them. It doesn't put them on your email list.

To put a customer on your email list, open their page and click Add to email list. You'll be asked to confirm they agreed to hear from you, because the law requires it. If they unsubscribed, they can't be added back.

Tag several people, or download

Tick the boxes next to people, type a tag, and click Add tag or Take tag off. Download (CSV) saves a spreadsheet of the people shown. It's a record of your customers, not a mailing list, so don't paste it into an email service unless they agreed to get emails.

Take someone off the list

Open their page and click Take off this list. Their bookings, orders and messages stay where they are, and if they book or write to you again, they come back.

Good to know

  • Customers is on every plan, and so is the email list. Sending newsletters needs the Business plan or the Newsletter sending add-on.
  • Everything here is for you and your team. We never email customers because they're on this list.

Still stuck?

Try it on the live demo first; nothing you do there is saved. If you’d rather have a person do it, ask for a work request from your dashboard. You’ll get a quote before any work starts.
